Every name on a direct mail file costs real money. Data, print, production, fulfilment and postage all add up. A weak audience is paid for twice: once in waste and once in lost response.
The channel rewards care. JICMAIL’s Response Rate Tracker shows cold and warm direct mail response rates rose by over 20% in 2025.
Here is the distinction this post turns on. Some agencies process the data you supply, while others source and blend audiences before selection. Both call themselves data-led direct mail specialists.
We compare five providers of B2B direct mail marketing services: Romax, First Move, Tangible, Design Inc and one audience builder. Each is a B2B direct mail agency of a different kind. Lifecycle coverage sits in our companion post on end-to-end providers.
What Makes a Direct Mail Agency Data-Led
It builds or verifies the audience before print, and it can show its work. There are two models:
- Bureau processing: cleaning, de-duplication, profiling, and address verification on a file you supply.
- Audience construction: sourcing and blending data from several providers, choosing segmentation attributes and suppressing records before print.
Judge any provider on five criteria:
- Does it source data or only process it?
- How broad are its sources?
- How wide is its suppression?
- How deep is the segmentation available for personalisation?
- Does it keep selection criteria for later analysis?
Direct mail audience targeting depends on those answers. So do direct mail data cleansing and suppression, and direct mail segmentation.
Put the same questions to any B2B direct mail agency on your shortlist. They apply equally to a B2B direct mail marketing company and to B2B direct mail marketing consultants.
The Top 5 B2B Data-Led Direct Mail Agencies
Here are five, grouped by data model:
- Audience builder: IMG (Intermedia Global Ltd) sources and blends audiences.
- Data processors: Romax and First Move work on files you supply.
- Insight analyst: Tangible works upstream of the campaign.
- Creative-led: Design Inc builds packs from behavioural data.
Each offers B2B direct mail marketing services in a different shape, from data work to direct mail advertising services. B2B depth varies, so check every B2B direct mail agency’s business client work before you commit.
1. IMG (Intermedia Global Ltd)
Intermedia Global Ltd (IMG) is a London-based B2B marketing consultancy that builds the audience first. It ranked 109th in the FT1000 2026, the Financial Times and Statista list of Europe’s fastest-growing companies. It also made the top 10 UK agencies in the B2B Marketing UK Agencies Benchmarking Report 2026.
IMG’s (Intermedia Global Ltd) data practice follows four steps. It audits existing records, appends missing detail from compliant sources, verifies every update, and returns records ready for your CRM.
CEO Steve Kemish puts it plainly: “Bad data doesn’t announce itself – it just quietly makes every campaign a bit less effective than it should be.” Clients include HSBC and Shell. That method drives its data-led direct mail:
- Data-led targeting: IMG (Intermedia Global Ltd) sources, blends, enriches, and segments data from global and specialist local sources. It combines firmographic, demographic, geographic, role and seniority, sector, company size, behavioural and intent attributes. Global scale and local depth give direct mail audience targeting real precision across international direct mail data.
- Direct mail data cleansing and suppression: address verification, de-duplication, customer and opt-out suppression, previous-campaign suppression, removal of invalid records and market-specific preference screening.
- Personalisation: variable data printing driven by those attributes, so personalised direct mail reflects each recipient. Localisation goes past translation into naming conventions, salutations, address formats and currency, which makes international direct mail data usable.
- Execution: B2B direct mail campaign design and delivery, with print, fulfilment and postal optimisation inside its end-to-end direct mail services.
- Measurement: response tracking and direct mail matchback analysis against retained selection criteria. Response reads by sector, company size, geography or role, then feeds the next campaign.
The work runs alongside email, paid social, sales outreach and ABM. The model is modular, so clients can take end-to-end direct mail services for a whole programme or a single component. IMG (Intermedia Global Ltd) slots in beside existing agencies and internal teams.
Best for: B2B and multi-market programmes where the audience has to be built, not supplied.
Not for: a settled first-party file that only needs producing.
2. Romax
London-based Romax pairs data management with print and mailing. Direct marketing makes up most of its work, alongside digital strategy. Its data services include direct mail data profiling and enrichment.
The emphasis sits on production with data attached. Confirm whether audience construction sits inside its B2B direct mail marketing services for your B2B direct mail agency brief.
Romax Marketing & Distribution Ltd was incorporated in June 1997. Companies House lists its registered office in Orpington, Greater London. It describes itself as a mailing house.
Its direct mail data cleansing and suppression covers PAF address correction and duplicate removal. It also screens out movers, deceased records and preference-service registrations before mailing.
Production covers personalised print, enclosing and discounted postage. Fulfilment can vary inserts by recipient data. It also lists overseas distribution and runs a hybrid mail platform, ooomail.
Romax states it holds ISO 27001, ISO 9001 and ISO 14001. It is registered with the ICO. It says its data services cover both B2B and B2C clients.
Suited to: London and UK campaigns where production and data processing should sit with one supplier.
Not for: building an audience that does not yet exist.
3. First Move
High Wycombe-based First Move has traded for over 35 years. Its data services cover cleaning and direct mail data profiling. It also runs programmatic and hybrid mail.
A Xerox Trivor inkjet press supports variable data printing at volume. Check its B2B case studies before shortlisting.
First Move has traded since 1985 and is family-owned. It offers end-to-end direct mail services, from creative and data through to print, postage and fulfilment.
Its direct mail data profiling compares client files with external data on age, income and household. Cleaning checks records against commercial databases and public records, removing duplicates and deceased names.
Printweek reported it was the first UK buyer of the Xerox Trivor 2400 in 2016. It also runs Xerox iGen and Nuvera presses, plus in-house die-cutting and a self-mailer glue line.
Its transactional clients include housing associations, pensions administrators and local authorities. It lists ISO/IEC 27001 and FSC accreditation. It is a Xerox Premier Partner and Royal Mail Strategic Mailing Partner.
Suited to: high-volume personalised print.
Not for: B2B buying-group targeting.
4. Tangible
London-based Tangible sits upstream of the mailing. It analyses existing data, runs research and turns insight into strategy. Its DMA profile does not list direct mail as a service, so confirm that first.
Direct mail segmentation here feeds the brief, not the print run.
Tangible’s DMA profile lists offices in London, Edinburgh and Cheltenham. It describes data analysis, research and strategy work. It cites a 2010 DMA Gold award for Halifax.
DecisionMarketing reported in October 2016 that Cello was rebranding Tangible under a new agency, Signal. Broadridge Financial Solutions announced its acquisition of Signal on 19 August 2025.
FinTech Futures says Signal helps regulated and social brands through outbound customer communications. Broadridge’s August 2025 release cites “fully outsourced print production”. Named clients include Lloyds Banking Group, Halifax and Nationwide.
Suited to: clients who need the audience understood before briefing a producer.
Not for: handling print production or postage.
5. Design Inc
Design Inc is the creative-led entry. It starts from behavioural data, mainly transactional sources. It overlays research and media data, then adds online data.
Creative builds around a single proposition, using response devices and tactile formats across litho and digital production. Its direct mail advertising services show direct mail segmentation feeding the message, not just the mailing file. It is a route to personalised direct mail through creative.
Design Inc was founded in Staines, Surrey, in 1997. It is now part of the Moore-Wilson group. It lists offices in Covent Garden, London, and Salisbury.
It describes itself as a full-service marketing agency. Direct mail sits within its advertising services, alongside branding, digital marketing and web work. It serves consumer, B2B and third-sector clients.
It says it can source mailing data where clients have none. It recommends pairing mail with email and telemarketing. Its email service also lists data supply and cleansing.
It offers litho and digital print management, including personalised printing. Its fulfilment team handles specialised envelopes and worldwide despatch. Listed sectors include aerospace, engineering, financial and legal.
Suited to: campaigns where pack creative and format carry the response.
Not for: multi-market B2B audience construction.
How Do You Reduce Wasted Spend On A Direct Mail Campaign?
Suppress before you print. Any B2B direct mail marketing services you buy should build that step in.
A poorly targeted digital impression costs fractions of a penny. A poorly targeted pack consumes data, print, production, fulfilment and postage. Royal Mail revised its Advertising Mail prices on 5 October 2026, so postage is a moving cost.
Attention raises the stakes. JICMAIL data for Q1 2026 shows Business Mail holding attention for an average of 182 seconds. A B2B direct mail marketing company that skips suppression passes that waste to you.
So suppression is a commercial decision, not a hygiene step. Who should not receive the campaign matters as much as who should. Direct mail audience targeting and direct mail data cleansing and suppression do that work.
Heavy data investment is not always warranted:
- Small universe: if every account should be mailed, selection adds cost without adding value.
- Clean first-party file: enrichment becomes a second payment for data you already hold.
- Low-volume test: audience construction can cost more than the media saved.
In those cases, a production-led partner covers the need. Note the incentive behind any list like this one. Every agency on it wants the shortlist, so test each against your own brief.
How to Compare Direct Mail Data Capabilities
The table compares the data side of each agency’s B2B direct mail marketing services. Cells marked “Confirm” need checking at briefing, as agency websites do not state them.
| Agency | Data model | Source breadth | Suppression scope | Segmentation depth | B2B or consumer weighting | What it unblocks for Marketing |
|---|---|---|---|---|---|---|
| IMG | Sources and blends audiences | Global and specialist local | Customer, opt-out, previous campaign, market preference | Firmographic to intent attributes | B2B and multi-market | Audience built before print |
| Romax | Processes supplied files | Client file plus acquisition | Confirm | Profiling and enrichment | Mixed client base | Data and mailing with one supplier |
| First Move | Processes supplied files | Client file | Confirm | Profiling and analytics | Confirm | High-volume personalised print |
| Tangible | Analyses existing data | Client data and research | Not applicable upstream | Insight-led segmentation | Confirm | Audience understood before briefing |
| Design Inc | Overlays behavioural data | Transactional, research, media, online | Confirm | Segments feed creative | Consumer and B2B work | Creative-led packs |
If your file is clean and settled, the Romax and First Move rows point away from audience building. A B2B direct mail agency of that kind is a legitimate choice.
Choosing Who Receives Your Next Direct Mail Campaign
B2B direct mail marketing services should start with one question: who should receive this mail? Clear answers deliver outcomes you can name:
- Sharper targeting.
- Less wasted print and postage.
- Personalisation that holds across the whole audience.
- B2B direct mail campaign design and delivery coordinated with email, paid media, social and sales outreach.
- Response you can read back by segment.
The agencies on this list approach that question differently. Some process and clean the data you supply. Others analyse it, design around it, or source new names. Processing the data you have and deciding who should receive the mail are different jobs.
Ask any B2B direct mail agency, B2B direct mail marketing company or B2B direct mail marketing consultants which one they do.
Ask, too, whether they keep selection criteria for direct mail matchback analysis. That clarity separates data-led direct mail from direct mail with a data line in the brochure.
