It is not just about the presence or absence of flexible space anymore; rather, the question is why businesses would opt for flexible space over a regular lease and what they get in exchange. It is not about getting the cheapest desk anymore; rather, it is about uncertainty management. Flexibility has become a financial matter for businesses that may see a lot of changes in their workforce in the coming years.

The commitment problem

Traditional commercial property leases may bind a business to the premises for several years. Even nowadays, five to ten years is a typical lease period within the United Kingdom. As Business.gov.uk explains, commercial property leases may take between 10 to 15 years; however, shorter periods are becoming more popular. Thus, new options are introduced.

The challenge lies in predicting how the company will be positioned in a few years’ time. Staff numbers can increase rapidly following an investment round, decrease following a restructure, or vary depending on whether companies change their mix of permanent employees, freelancers, and hybrid workers. Hybrid working introduces yet another factor, as the number of staff does not necessarily equal the number of desks that are needed.

Therefore, office planning becomes a forecasting task. When a company enters into a lease, there must be some assurance about future space requirements, but a flexible lease gives the firm greater freedom to change its assumptions. The problem does not lie in businesses’ lack of desire for an office, but rather in their unwillingness to commit themselves to uncertain predictions.

What businesses are actually comparing

The comparison does not only pertain to the rent. There are other considerations that business people must make in order to make the right choice.

The flexible workspace can be costly in terms of desk costs per month. However, it is usually for a short period of time and involves less money spent at the beginning. In the case of a lease agreement, the business pays less rent in the long run, but it may also have to spend on the fitting-out of the office space, service charges, business rates, and maintenance and repair costs.

This makes the price of the property very different. A firm, which does not know how many employees it will have in the future, would pay a premium for the ability to expand or shrink the size of its office space. This additional expense is part of the cost of such flexibility.

For an enterprise planning to grow from 20 to 35 people, or even decline to 15 people, the advantage is in having the possibility of changing the size of the office. This choice might be less economically beneficial for a stable enterprise without such plans.

What it costs

The city of London is a good example to demonstrate how wide the variation of flexible workspace prices may be. According to Workthere’s average monthly desk price guide for H1 2026, the price range of the dedicated private-office desk is between about £250 and £1,100, depending on the location. These prices reflect estimated average monthly quotes for desks inside private offices.

Location is a major factor contributing to the price difference. Office spaces located in central business districts and other known premium sites are always going to be more expensive than those located farther from the city center. The price will also depend on the operator of the business space, based on the amenities offered.

This is why head-to-head comparisons of costs will prove useless. While one month may encompass access to meeting rooms, reception facilities, internet, furnishings, and utilities, the other might only consider the desk price itself. Therefore, rather than looking at just the desk cost, companies in search of flexible office solutions should concentrate on comparing the perks included, length of the contract, and its reconfiguration costs.

The rates of flexible workspace across London differ significantly depending on the district and provider, making direct comparisons difficult.

Who’s moving, and who isn’t

Flexible workspaces will be attractive options for businesses where the degree of uncertainty regarding their needs in the future is very high. This would include startups that are rapidly hiring people, companies which have just entered the UK market and don’t have a big local presence, and companies where the employees work in different locations but meet physically for discussions.

The model is equally applicable to companies conducting market surveys prior to committing more resources. When an existing business plans to expand from Manchester to London, for instance, it may require a temporary foothold in the area before determining if setting up a permanent office there is feasible.

However, it is not always the case. Established firms that have a constant staff number and a certain demand for space may attach more importance to other factors. If an organization is aware of its spatial needs and is going to stay in one place for years to come, conventional leasing may become more advantageous because of its cost efficiency and controllability.

Where flexible stops making sense

There is an economic limit to flexible space. As the company grows in size and the predictability of its number of employees increases, the cost of flexibility will be greater than the benefit derived from flexible space. In such a situation, it will make more economic sense to go with a regular lease agreement.

Then there are requirements that cannot be met by flexible working space. If the businesses operate laboratories or special production areas, such as recording studios, they may need premises built specifically for them. This type of flexible working environment will most likely not satisfy their needs.

Brand continuity may be another factor. Some businesses seek a place that will always have an integral role in the company’s image and in the experience of its customers. The need for this could mean that a traditional lease agreement is preferable.

Therefore, flexible working space does not replace leases for all business types. This is simply another option for businesses that require flexibility.

The decision comes down to certainty

What becomes important is the degree of certainty about the number of employees and amount of space required over the coming years by the company. Higher certainty makes it easier to opt for a traditional leasing agreement, especially when it comes to a bigger and well-established organization. Lower certainty makes flexibility an important factor, regardless of its cost.

For most growing firms, however, the choice of office is increasingly a matter not of making a selection between two options but rather of determining just how much uncertainty they can accept. Flexible office space introduces some uncertainty into the cost of the space itself, while a lease provides greater control at the expense of greater commitment.
